Privacy Notice for HireFrog Customers

Last updated: October 17, 2026

1. Introduction

Hardwalk, LLC dba HireFrog (“HireFrog,” “we,” “us,” or “our”) provides AI-enabled job search, resume customization, job tracking, application support, and related services through our websites, applications, tools, and services (collectively, the “Services”).

This Privacy Notice explains how we collect, use, disclose, and protect Personal Information about customers, users, website visitors, account holders, trial users, and individuals who access or use the Services (collectively, “you” or “your”).

“Personal Information” means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with an identifiable person or household. Personal Information does not include information that has been de-identified, anonymized, aggregated, or otherwise cannot reasonably be linked to a specific person.

This Privacy Notice is incorporated into and should be read together with our Terms of Service, our AI and Data Use Policy, and any product-specific notices that apply to particular features. By accessing or using the Services, you acknowledge that we may collect and process your Personal Information as described in this Privacy Notice. If you do not agree with this Privacy Notice, you should not use the Services.

If you have questions about this Privacy Notice, please contact us using the details in Section 17.

2. Privacy Principles

We are committed to handling Personal Information responsibly and in accordance with applicable privacy laws. When we collect and use Personal Information, we seek to:

  • process Personal Information lawfully, fairly, and transparently;
  • collect Personal Information for specified and legitimate purposes;
  • limit collection to information that is reasonably necessary for the Services and our business operations;
  • keep Personal Information accurate and up to date where appropriate;
  • retain Personal Information only as long as necessary for the purposes described in this Privacy Notice or as required by law; and
  • use reasonable technical, administrative, and organizational safeguards to protect Personal Information.

3. Categories of Personal Information We Collect

Depending on how you use the Services, we may collect the following categories of Personal Information.

Identifiers and Contact Information

This may include your name, email address, phone number, mailing address, account username, account ID, authentication credentials, IP address, device identifiers, and other similar identifiers.

Account and Profile Information

This may include your login information, subscription status, plan type, preferences, settings, saved searches, job search goals, career interests, desired roles, desired locations, work preferences, and other information you add to your HireFrog profile.

Resume, Career, and Application Information

This may include resumes, cover letters, work history, employment history, education history, skills, certifications, portfolio links, compensation expectations, job preferences, application answers, interview notes, and other career-related information that you provide, upload, generate, edit, or store through the Services.

Job Search and Service Activity

This may include jobs you search for, save, classify, compare, apply to, reject, track, or submit through the Services, as well as activity within your job pipeline, job descriptions you provide, notes you enter, AI prompts, AI-generated outputs, and actions taken within the Services.

Payment and Billing Information

If you purchase a paid subscription or other paid Services, we may collect billing details, plan information, transaction records, payment status, and related commercial information. Payment card numbers and certain payment credentials may be collected and processed by our payment processor rather than stored directly by HireFrog.

Internet or Other Electronic Network Activity

This may include information about your interactions with our websites, applications, emails, and Services, such as log data, browser type, device type, operating system, pages viewed, features used, referring URLs, session activity, timestamps, diagnostic information, and cookie or similar tracking information.

Connected Account and Integration Information

If you choose to connect third-party accounts or services to HireFrog, we may collect information authorized by you through those connections. This may include information from email accounts, job boards, applicant tracking systems, calendars, cloud storage providers, or other services that you choose to connect, depending on the integration and permissions you approve.

For example, if you connect an email account, we may process emails, message metadata, attachments, or other information only to the extent needed to provide the connected feature you request, such as identifying job-related messages, tracking application status, preparing follow-up reminders, or importing job search materials. You can revoke connected-account access through your account settings, the applicable third-party service, or by contacting us.

Communications and Support Information

This may include messages you send to us, support requests, feedback, survey responses, chat communications, email communications, call records, and other information you provide when you contact us.

Inferences

We may derive inferences from the information described above, such as job fit signals, recommended roles, resume improvement suggestions, application-readiness assessments, workflow recommendations, or user preferences.

Sensitive Personal Information

The Services may involve information that could be considered sensitive under certain privacy laws, such as account login credentials, precise contents of your resume or application materials, immigration or work authorization information, compensation expectations, demographic information, or other sensitive details that you choose to provide. We do not require you to provide sensitive information unless it is necessary for a feature you choose to use.

You should avoid uploading or entering sensitive information that is not necessary for your use of the Services.

4. Sources of Personal Information

We may collect Personal Information from the following sources:

  • directly from you when you create an account, complete your profile, upload a resume, enter job preferences, use the Services, purchase a subscription, or contact us;
  • automatically from your device, browser, and interactions with the Services;
  • from third-party services or integrations that you choose to connect or authorize;
  • from payment processors, authentication providers, analytics providers, hosting providers, security tools, and other service providers;
  • from publicly available sources, such as public job postings or employer websites, when used to provide or improve the Services; and
  • from business partners, referral sources, or other users, where permitted by law.

5. How We Use Personal Information

We may use Personal Information for the following purposes.

To Provide and Operate the Services

We use Personal Information to create and manage your account, authenticate you, provide job search and tracking tools, customize resumes and application materials, generate AI-assisted content, save your work, process your instructions, provide customer support, and deliver the features you request.

To Personalize and Improve Your Job Search Experience

We may use Personal Information to tailor job recommendations, identify relevant job opportunities, analyze job descriptions, classify jobs, improve resume alignment, suggest application strategies, prepare interview materials, and help you manage your job search workflow.

To Process Payments and Manage Subscriptions

We may use Personal Information to process payments, manage subscriptions, confirm entitlements, provide billing support, prevent fraud, and maintain transaction records.

To Communicate With You

We may use Personal Information to send service-related messages, account notices, security alerts, support responses, product updates, onboarding communications, and other communications related to the Services. Where required by law, we will obtain your consent before sending marketing communications, and you may opt out of marketing emails at any time.

To Maintain Security and Prevent Misuse

We may use Personal Information to protect the Services, detect and prevent fraud, abuse, security incidents, unauthorized access, spam, misuse, or other harmful activity, and to enforce our agreements and policies.

To Analyze and Improve the Services

We may use Personal Information to understand how users interact with the Services, troubleshoot issues, test and improve features, develop new products, improve AI-assisted workflows, measure performance, and conduct analytics.

We may use de-identified, aggregated, or statistical information to improve the Services, develop new features, measure performance, and understand usage trends. We do not use your resumes, application materials, connected-account content, or private job search materials to train third-party foundation models unless we provide notice and obtain consent where required by law.

To Comply With Law and Protect Rights

We may use Personal Information to comply with applicable laws, regulations, legal processes, and governmental requests; to enforce our agreements; to protect the rights, privacy, safety, or property of HireFrog, our users, or others; and to establish, exercise, or defend legal claims.

Lawful Bases for Processing

Where privacy laws require a lawful basis for processing, including in the European Economic Area and United Kingdom, we rely on one or more of the following lawful bases:

  • contract, where processing is necessary to provide the Services or take steps at your request;
  • legitimate interests, such as securing the Services, preventing fraud, improving product performance, responding to support requests, and operating our business;
  • consent, where you authorize optional features, connected accounts, certain cookies, marketing communications, or other consent-based processing; and
  • legal obligation, where processing is necessary to comply with applicable law, legal process, or regulatory requirements.

6. AI Features and User Content

HireFrog uses AI and automation to support job search workflows. Depending on the features you use, you may submit prompts, resumes, job descriptions, application questions, profile information, and other content for analysis or generation.

We may process this information to generate outputs such as customized resumes, cover letters, job-fit summaries, application responses, interview preparation materials, job classifications, search results, and workflow recommendations.

AI-generated outputs may be inaccurate, incomplete, or unsuitable for a particular employer or application. You are responsible for reviewing, editing, and approving any content before submitting it to an employer, job board, applicant tracking system, or other third party.

We may use service providers, including AI infrastructure providers, to help operate AI features. We take steps designed to require service providers to process Personal Information only for authorized purposes and in accordance with appropriate confidentiality and security obligations.

Unless we clearly tell you otherwise and obtain any consent required by law, HireFrog does not use your resumes, application materials, connected-account content, or private job search materials to train third-party foundation models. We may use limited, de-identified, aggregated, or statistical information to evaluate and improve the Services.

You should not rely on AI outputs as professional, legal, financial, immigration, career, or employment advice. HireFrog does not guarantee that any resume, cover letter, application answer, job recommendation, job-fit score, or other AI output will result in an interview, job offer, employment outcome, or other particular result. See our AI and Data Use Policy for more information.

Connected AI Assistants (Claude and ChatGPT)

If you connect HireFrog to your own Claude or ChatGPT, that assistant can read your agents (including their search filters, such as a salary range), the roles in your pipeline (including posting text, your match and your notes), a summary of your profile (name, headline, skills, location, job preferences and work history) and which résumés and cover letters you have, but never your profile’s contact details, address, date of birth, self-identification answers, pay expectations, work authorization, references or the text of your documents. HireFrog’s sign-in provider also shares your sign-in email, your phone number if one is on your account, and your name and picture if you signed in with Google with every assistant you connect. The assistant’s provider (Anthropic for Claude, OpenAI for ChatGPT) processes what it reads under its own terms. HireFrog keeps a daily count of requests per tool and connected app, never your questions or the answers. When the assistant asks for a change that you confirm in HireFrog, HireFrog stores that request, with exactly what it would change, until you confirm or cancel it or it expires after 24 hours, and deletes it one day after that. If it made a tailored résumé or cover letter, HireFrog keeps it for 30 days so you can still review and save the documents. The assistant can save roles and move them forward in your pipeline; any other change is only a request that you confirm in HireFrog. You can disconnect at any time in Settings → Connected apps, which cuts off access at once.

7. How We Disclose Personal Information

We may disclose Personal Information to the following categories of recipients.

Service Providers

We may disclose Personal Information to vendors and service providers that help us operate the Services, including hosting providers, database providers, analytics providers, customer support tools, authentication providers, payment processors, email service providers, security providers, AI infrastructure providers, and other technical or operational vendors.

Third-Party Services You Connect or Authorize

If you choose to connect HireFrog to third-party services, or instruct us to submit, export, send, or retrieve information through a third-party service, we may disclose Personal Information as necessary to perform your request. These third parties may process your information under their own terms and privacy policies.

When you connect a third-party service, you are authorizing HireFrog to access and process the information made available by that service according to the permissions you approve. You may revoke access through HireFrog, the third-party service, or both. Revocation may limit or disable certain features.

Google API Services Disclosure

HireFrog’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Gmail data is used only to identify and import job postings from job-alert emails you authorize, is not used for advertising, and is not shared except as necessary to provide this feature or as required by law. You can revoke HireFrog’s access to your Google account at any time from your Google Account’s security settings, or by disconnecting Gmail within HireFrog.

Employers, Job Boards, and Application Platforms

If you direct HireFrog to assist with applying for jobs, submitting materials, exporting content, or interacting with a job board, employer, applicant tracking system, or similar platform, we may disclose the information necessary to complete your requested action.

Once your information is submitted to or accessed by an employer, recruiter, job board, applicant tracking system, or other third-party platform, that third party’s own terms, privacy policy, and data practices apply. HireFrog does not control how those third parties use, retain, or disclose your information.

Business and Legal Recipients

We may disclose Personal Information to professional advisors, insurers, auditors, legal representatives, regulators, government authorities, courts, law enforcement, or other parties where necessary to comply with law, respond to legal process, protect rights and safety, or defend legal claims.

Business Transfers

We may disclose or transfer Personal Information in connection with a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar business transaction involving all or part of our business.

We do not sell Personal Information for money. We do not share Personal Information for cross-context behavioral advertising unless we provide any notices and choices required by applicable law. We also do not knowingly sell or share Personal Information of children under 16.

8. Cookies, Analytics, and Similar Technologies

We and our service providers may use cookies, pixels, SDKs, local storage, log files, and similar technologies to operate the Services, remember preferences, authenticate users, analyze usage, measure performance, improve features, and protect against fraud or abuse.

These technologies may include:

  • essential cookies needed to operate the Services, authenticate users, and maintain security;
  • preference cookies that remember account or interface settings;
  • analytics cookies that help us understand feature usage and performance; and
  • marketing cookies or pixels, if used, to measure campaigns or provide relevant communications.

You may be able to control cookies through your browser settings, device settings, or any cookie controls we make available. If you disable cookies, some features of the Services may not function properly.

You may opt out of marketing emails by using the unsubscribe link in the email or by contacting us. Even if you opt out of marketing communications, we may still send transactional or service-related messages, such as account, billing, security, or legal notices.

9. International Transfers and Storage

HireFrog is based in the United States. If you access the Services from outside the United States, your Personal Information may be processed and stored in the United States or other countries where we or our service providers operate.

Where required by applicable law, we use appropriate safeguards for international transfers of Personal Information, which may include standard contractual clauses or other lawful transfer mechanisms.
